JazzHQ: Filling an Event With Partner Leaders Worth Meeting

JazzHQ sells to the people who run partner programmes, a persona no database can isolate. Targeted outreach turned an event with recognised brands into 45 attendees and 15 demos booked with buyers who matched the ICP.

Challenge

Reach a narrow persona for a considered PRM purchase, where cold pitches rarely earn a first conversation

The audience

A buyer you can't pull from a database

JazzHQ needed conversations with the people who actually run partner programmes. Partnership and alliance leaders are a narrow persona, and no data provider offers a filter that isolates them cleanly.

The purchase made the problem harder. Partner relationship management (PRM) is a considered buy, so a cold pitch rarely earns a first conversation on its own merits.

JazzHQ's answer was events featuring brands like HubSpot, Rocketlane, ElevenLabs and Wrike. The open question was who would fill the room.

The standard

Why the registration count wasn't the goal

Registrations are easy to inflate. Broad promotion can fill a sign-up list with people who never attend, or who attend but will never buy.

So the event was held to a harder standard from the start. It had to produce booked meetings with buyers who fit the ICP, not goodwill and a long attendee list.

  • Who registers matters less than who shows up
  • Who shows up matters less than who fits the ICP
  • The output that counts is a booked demo
“We evaluated 5 different providers to set up our outbound infra and selected RevFirst as we were impressed with their expertise. They lived up to the expectations and delivered on the promise. I would recommend them to any firm trying to get their outbound motion up and running.”

The approach

Invite named leaders, qualify them early, protect the show rate

RevFirst treated the event as an outbound campaign with a clear target list, not a broadcast. Each step was designed to keep the room full of the right people.

  • Used the recognised brands as the draw, because partner leaders turn up for peers they want to hear from
  • Sent targeted outreach to named partnership and alliance leaders instead of broad event promotion
  • Qualified registrants against the ICP before the event, not after it
  • Ran reminder sequences across the days before the event to protect the show rate
The funnel

From named leaders to 15 booked demos

78 people registered from the targeted outreach. 45 of them attended, a 58% show rate against the 35–50% norm for virtual events.

From that room, JazzHQ booked 15 demos with buyers who matched the ICP. Each stage was smaller than the last, and each was worth more.

What carries forward

A repeatable channel for an audience you can't buy

The result was more than one good event. Events became a repeatable channel for reaching a persona that cannot be bought from a list.

The method stays the same each time: a draw the audience cares about, outreach to named people, qualification before the day and reminders that protect attendance.

What this shows

An event is only as good as the list behind its invitations. RevFirst ran it like any outbound campaign: define the ICP, reach named decision-makers, qualify before the day, and measure success in booked demos rather than registrations.
